Plactivity.com Cancellation and Refund Policy
Plactivity.com is committed to providing a transparent and fair experience for both event organizers and attendees. This policy outlines the terms and conditions governing cancellations, refunds, and other related matters for all activities (physical and virtual) hosted on our platform. Please note: If an event organizer has established specific terms and conditions for their activity, those terms will supersede Plactivity’s general policy. Attendees are strongly encouraged to review the organizer’s terms, available on the respective activity page, before completing their booking.
1. Cancellations for Physical Activities
1.1 Cancellation by the Organizer:
- If an organizer cancels a physical activity, attendees will receive a full refund of the ticket price, with no service fees deducted.
- Plactivity will charge the organizer a 3% service fee per attendee for cancelled activities. This fee covers administrative and processing costs.
- Organizers are required to notify Plactivity of any cancellations at least 7 days prior to the scheduled event. This allows for effective communication with attendees and minimizes disruption.
1.2 Cancellation by the Attendee:
- More than 72 hours before the activity: A full refund will be issued, minus a 3% service fee.
- Between 72 and 48 hours before the activity: A 50% refund of the ticket price will be issued, minus a 3% service fee.
- Less than 48 hours before the activity: No refund will be issued.
- Cancellation requests must be submitted through the attendee’s account dashboard on Plactivity.com or by contacting Plactivity customer support at support@plactivity.com.
1.3 Vouchers:
- As an alternative to a cash refund, eligible attendees may opt to receive a voucher. The voucher’s value will be equal to the applicable refund amount (i.e., after any applicable service fees are deducted). Vouchers are redeemable for any future event on Plactivity.com within three months of issuance.
2. Cancellations for Virtual Activities
2.1 Cancellation by the Organizer:
- If an organizer cancels a virtual activity, attendees will receive a full refund of the ticket price, with no service fees deducted.
- Plactivity will charge the organizer a 3% service fee per attendee for canceled activities.
- Organizers are expected to notify Plactivity of any cancellations as soon as reasonably possible.
2.2 Cancellation by the Attendee:
- More than 72 hours before the activity: A full refund will be issued, minus a 3% service fee.
- Between 72 and 48 hours before the activity: A 50% refund of the ticket price will be issued, minus a 3% service fee.
- Less than 48 hours before the activity: No refund will be issued.

2.4 Missed Activities and Technical Issues:
- No refunds or vouchers will be provided for missed virtual activities due to attendee-side technical issues, such as inadequate internet connectivity, device incompatibility, or software problems.
- Access to recordings of the virtual activity (if offered by the organizer) may be provided at the organizer’s sole discretion.
3. Substitution Policy
Attendees who are unable to attend an activity may nominate a substitute to attend in their place. Substitution requests must be submitted at least 24 hours prior to the activity and are subject to a ₹20 processing fee per participant.
4. Failed Payments
In the event of a failed payment transaction where a booking confirmation is not received, Plactivity will verify the transaction status. Upon confirmation of a failed transaction, a refund will be initiated. Refunds are typically processed within 3-5 business days, but processing times may vary depending on the attendee’s bank or payment provider, potentially taking up to 7-10 business days or longer.
5. General Conditions
5.1 Service Fees: A 3% service fee is applied to all refunds initiated by attendees. This fee covers transaction processing and administrative costs. This fee is waived for cancellations initiated by the organizer.
5.2 Unforeseen Circumstances (Force Majeure): In the event of an activity cancellation due to unforeseen circumstances beyond the reasonable control of Plactivity or the event organizer (including, but not limited to, natural disasters, pandemics, government restrictions, or acts of terrorism), refunds will be issued at Plactivity’s sole discretion, in consultation with the organizer.
5.3 Organizer-Specific Policies: If Plactivity’s general policy is not applicable to a specific activity, the organizer’s clearly stated terms and conditions (displayed on the activity’s details page) will take precedence.
5.4 Buffer Time and Waiting Lists: Attendees are advised that there may be a buffer time of up to 30 minutes from their booked slot due to unforeseen circumstances such as no free slots, space limitations, technical issues, or other delays. During this buffer period, cancellations will not be permitted. If an attendee opts to cancel the activity after the buffer time has elapsed, they will receive a voucher equivalent to the ticket price, valid for 1 month from the date of issuance, to be used for future activities on our platform.
Additionally, if you are on a waiting list for an activity and a spot becomes available due to a cancellation, you will be notified via app notification or email or SMS. The notification may include a buffer time of up to 30 minutes to account for processing. Attendees are encouraged to respond promptly as spots may become available sooner than anticipated.
5.5 Partial Attendance: No refunds will be issued for partial attendance of an activity.
5.6 No-Shows: Attendees who do not attend a booked activity without prior cancellation will not be eligible for a refund.
5.7 Data Privacy: Plactivity handles all personal information securely and in accordance with our Privacy Policy [Link to Privacy Policy].
6. How to Request a Refund or Cancellation
- Log in to your Plactivity account.
- Navigate to “My Bookings.”
- Select the relevant activity.
- Follow the on-screen instructions to initiate a cancellation or refund request.
