Organizers Policy

At Plactivity, we value the efforts and creativity of our organizers in hosting a wide variety of engaging activities. To ensure smooth operations, transparency, and trust between organizers and attendees, the following policy outlines the terms and responsibilities for organizers using the Plactivity platform. By listing activities on Plactivity, organizers agree to abide by these terms.

1. Cancellation and Fees

1.1 Cancellation by the Organizer:

  • In case an organizer cancels an activity, a 3% service fee per attendee will be charged. This fee covers processing refunds and managing associated costs.
  • Organizers are expected to inform Plactivity of any cancellations at least 7 days in advance for physical activities and 48 hours in advance for virtual activities.

1.2 No-Show or Last-Minute Cancellations:

  • If an activity is cancelled within less than the required notice period, organizers may incur additional penalties or limitations on future listings.

2. Communication with Attendees

2.1 Timely Updates:

  • Organizers must promptly communicate any changes, such as rescheduling, venue changes, venue area is not playable due to any reason, or cancellations, to Plactivity. Plactivity will relay the updates to attendees on behalf of the organizer.
  • Direct attendee communication by organizers is permitted but must comply with Plactivity’s privacy and security guidelines.

2.2 Clear Policies on the Activity Page:

  • Organizers are required to outline their specific cancellation, refund, and substitution policies on the activity page. These policies must align with Plactivity’s guidelines and cannot contradict platform rules.

3. Activity Listings

3.1 Accurate Information:

  • Organizers are responsible for ensuring that all details provided about their activities are accurate, up-to-date, and complete. This includes descriptions, schedules, pricing, age restrictions, and any other applicable terms.
  • Misleading or inaccurate information may result in activity delisting and penalties.

3.2 Compliance with Laws:

  • Activities listed on Plactivity must comply with local laws, safety regulations, and ethical standards. Organizers must obtain any required permissions, licenses, insurance and clearance.

4. Payments and Payouts

4.1 Organizer Fees:

  • Plactivity charges a service fee on ticket sales, which will be deducted before the payout. The exact fee will be detailed during the listing process.
  • Organizers will receive their payouts within 7-10 business days after the successful completion of the activity.

4.2 Tax Compliance:

  • Organizers are responsible for reporting and remitting any taxes applicable to their earnings. Plactivity may provide necessary reports but does not handle tax obligations on behalf of organizers.

5. Refunds and Disputes

5.1 Refund Responsibilities:

  • In cases where attendees are eligible for refunds under Plactivity’s policies, the associated costs will be adjusted from the organizer’s payout.
  • Organizers are encouraged to resolve disputes amicably with attendees. In unresolved cases, Plactivity will mediate and make a final decision, which will be binding.

5.2 Substitutions:

  • Organizers must honour substitution requests made by attendees through Plactivity, provided they comply with platform guidelines.

6. Platform Use and Conduct

6.1 Content Standards:

  • All promotional materials, descriptions, and communication posted by organizers must meet Plactivity’s content standards, avoiding offensive or misleading information.

6.2 Prohibited Activities:

  • Activities that promote illegal, unsafe, or unethical practices are strictly prohibited and may result in immediate account suspension.

7. Liability and Indemnification

7.1 Organizer Responsibility:

  • Organizers are solely responsible for the safety and quality of the activities they host. Plactivity is not liable for any damages, injuries, or losses occurring during an activity.

7.2 Indemnification:

  • Organizers agree to indemnify and hold harmless Plactivity from any claims, damages, or legal disputes arising from their activities or conduct.

8. Changes to Policy

Plactivity reserves the right to update or modify this policy at any time. Organizers will be notified of significant changes and are required to comply with the updated terms to continue using the platform.
